Township of South Frontenac Recreation & Leisure Services Advisory Committee Meeting Minutes Meeting #2025-02 Time:6:00p.m Location: 3910 Battersea Road/Virtual
Present: Councillor Ray Leonard, Shane Peters, Councillor Norm Roberts, Paul Wash, Marie Wilkins, Holly Wilson & Michele Zigman.

Business
a)
Quarterly Event Update Report Amanda Pantrey introduced the Committee to the two summer students who will be supporting Township programs and events. Amanda Pantrey provided an overview of the report.
Minutes of Recreation & Leisure Services Advisory Committee May, 22, 2025 Holly Wilson asked how staff decide the amounts of swag to order for each event. Amanda Patrey responded that the orders are based on historical numbers. b)
June is Recreation and Parks Month Amanda Pantrey provided an overview of the report.

Community Event Review Amanda Pantrey provided an overview of the report and additional context regarding the format of the report and how it responds to the original motion brought forward by the Committee. In response to a question from Shane Peters, Amanda provided information regarding the various levels of support the Township provides to these events. Councillor Roberts added that the Township also provides financial support through maintenance costs for Township-owned fields, parks, and facilities. Shane Peters inquired if additional events would require additional staff, and Amanda confirmed that additional events would require more staff, however she noted that more research is required to determine what types of events would be wanted or needed in the community. Marie Wilkins assumed the position of Chair. Holly Wilson thanked staff for putting the report together and noted that she had hoped for more data and that additional suggestions for alternative events would be included in the report. Holly explained that the original motion was requesting consideration for what could be possible and sought guidance regarding how the Committee could work with Council to move this forward. Amanda Pantrey explained that staff could explore options to redirect current resources to look at different possibilities. Holly Wilson resumed the position of Chair. Councillor Leonard spoke to the suggestion of additional events and mentioned that resources are limited and that it is difficult to get volunteers to support the events. Councillor Leonard proposed that Bedford could be considered as a location for future events. Marie Wilkins provided some suggestions regarding getting more community members involved in the events, including members from different Districts and taking advantage of the Township grants. Shane Peters concurred with Councillor Leonard’s suggestion regarding Bedford District and spoke to the second recommendation for exploring changes to the municipally led events. Amanda Pantrey requested that the Committee share ideas for different events and it was decided that members could provide their suggestions at this meeting and via email by the end of June in order to inform the August report to Committee. The Committee suggested and had discussions regarding the following ideas: Movies in the Township, fishing derby or something similar with a focus on the water, Cattail festival/boat race (participants to construct their own boats from supplies provided). Councillor Roberts suggested that the Bedford Councillors would be able to

Minutes of Recreation & Leisure Services Advisory Committee May, 22, 2025 connect with the residents and collect ideas for what might be possible for events in the District. Councillor Leonard agreed and suggested that he and Councillor Roberts would connect with the Bedford District Councillors following the meeting.
Resolution No. 04 Moved by Shane Peters Seconded by Marie Wilkins That the Recreation and Leisure Services Committee direct staff to explore changes to the existing municipally led program and event offerings for 2026, without introducing additional events or programs. Carried 8
